This policy explains how Kotian Ventures (“we”, “us”) collects, uses, stores and protects personal information shared through kotian.co.in — in particular through the eligibility form for the Global Honorary Doctorate of Excellence and International Human Rights Grand Seminar (the “program”). By submitting the form you confirm you have read this policy.
1. Information we collect
Information you give us in the eligibility form: full name, mobile number, WhatsApp number (if different), email address, city, profession or industry, years of experience and, optionally, your company or organisation. We also record that you gave consent to be contacted, when you gave it, and the version of this policy in force at the time.
Campaign and technical information collected automatically: the advertising campaign that brought you to the page (UTM parameters such as source, medium, campaign, content and term), the Meta click identifier (fbclid) where present, the landing page address, the referring website, your browser’s user-agent, and the date and time of each submission. Your IP address is used briefly to protect the form from abuse and is stored only in a one-way hashed form for that purpose.
2. Why we collect it and how we use it
- To review your eligibility for the program and contact you about it by phone, WhatsApp or email.
- To manage your enquiry: recording conversations, follow-ups and the status of your application in our internal lead-management system.
- To organise your participation if your participation is approved.
- To understand which advertisements and channels bring enquiries, so we can measure and improve our campaigns.
- To keep our systems secure and prevent spam and misuse.
We do not sell your personal information.
3. Communication and marketing
By ticking the consent box you agree to be contacted by the program team about your eligibility, nomination and participation in the program. We will not use your details to send unrelated promotional messages without your separate permission. You can ask us to stop contacting you at any time — just tell the person who contacts you, or call Kotian Ventures on +91 99884 48707 or use the details on our contact page.
4. Who we share it with
- Organisations associated with the program — International Human Rights and WECME Advisory Sdn Bhd — only to the extent needed to assess eligibility and to organise the seminar, recognition, travel and hospitality.
- Service providers who run our systems on our behalf: website and server hosting, a managed cloud database, and an email delivery service used to notify our team of new enquiries. They may process data on servers located outside India and are only permitted to use it to provide their service to us.
- Meta Platforms (Facebook and Instagram), for advertising measurement — see section 6.
- Authorities, where we are required to by law.
5. Storage and security
Your details are stored in a secured database that is not publicly accessible. Access to our lead dashboard is limited to authorised team members with individual accounts, role-based permissions and encrypted (HTTPS) connections. Passwords are stored only as secure hashes. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
6. Cookies, analytics and Meta advertising
The program page stores the campaign information described in section 1 in your browser’s local storage for up to 30 days, so it is not lost if you visit another page before submitting the form. If you return within that time, your form draft may also be kept for the rest of your browsing session.
Where enabled, the page uses the Meta Pixel, which may set cookies (such as _fbp and _fbc) and tell Meta when you view the page and when you submit the form. When you submit the form we may also send Meta a notification of the submission through Meta’s Conversions API, including your email address and phone number in hashed (one-way encrypted) form, so Meta can measure the effectiveness of our advertisements. Meta’s use of this information is governed by Meta’s own privacy policy. You can control ad personalisation in your Facebook and Instagram settings.
7. How long we keep it
We keep your information for as long as it is needed for the purposes above, including any follow-up, participation and record-keeping obligations. We are finalising a formal retention period; until then, information is not deleted automatically, and you may ask us to delete it at any time (section 8).
8. Your rights
Subject to applicable law, including India’s Digital Personal Data Protection Act, 2023, you may ask to access the personal information we hold about you, correct or update it, have it erased, or withdraw your consent. Withdrawing consent does not affect contact made before you withdrew it. You may also raise a grievance with us. 9. Children
The program is intended for experienced professionals. We do not knowingly collect information from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. The version number and date at the top of this page show when it last changed. Each enquiry records the version that was in force when it was submitted.
